TherapyNotes does not publish those rates. The December 2025 pricing update left electronic-claim prices unchanged and does not print them. | Claims are 25 cents per submission. The billing FAQ does not print a volume discount. Eligibility and benefits reports are 15 cents. Cards run through Stripe at 2.9 percent plus 30 cents per successful transaction, with no additional platform fee from Sessions Health. | Card payments are a 2.99 percent fee plus 30 cents per transaction on every plan. Essentials does not include claims. Advanced includes 50 free claims per practice per month, then 23 cents a claim. The eligibility row prints 50 free per practice per month, then 25 cents a claim. Text and phone reminders on Advanced are 50 of each per month, then 10 cents a reminder. Premier marks claims, eligibility checks, and those reminders unlimited, subject to the Fair Usage Policy. |
| Client portal | Client portal, paperless intakes, and online payments are on every plan. Online appointment requests are on Starter. Secure messaging is on Essential and Plus. | Ask what a client can book, pay, message, and sign without calling you. TherapyNotes does not publish that list. | Included, not an add-on. The portal automates intake, collects payment, supports secure communication, and offers online appointments. | Secure client portal on every plan, with 24/7 access to documents, appointments, and online payments. Secure messaging and online booking on Advanced and Premier. |
| Telehealth | Telehealth is on every plan. Plus adds group telehealth. | Ask whether basic video is in the subscription, and what premium costs. You can use another video tool in reminders at no Sessions Health video fee. | Essentials prices video at $12 a month per therapist. Advanced and Premier include unlimited individual and group telehealth. |
| Notes | Progress notes are on every plan. Starter includes a template library. Note Taker is $35 a month after 30 free days. Care Aide is $59 a month for the account owner after 30 days and includes Note Taker. | The December 2025 pricing update names TherapyFuel as an optional feature and does not print the price. Ask which template opens when you mark the visit complete, and what the add-on costs. | The pricing page lists custom forms and note templates. AI Assist is $35 a month per practitioner. | Essentials includes basic notes and Ensai notes enhancement. Advanced adds custom notes. Premier includes Wiley Practice Planner. Ensai Session Assistant is $35 a month per provider. The Premier note also shows 70 percent off the first 3 months, plus Ensai for $1. |
| Pricing model | Solo: Starter $49, Essential $79, Plus $99 a month. Group view shows Plus: $99 first practitioner, $74 each additional. Six or more: custom. 30-day trial, no card. 50 percent off for 3 months if you start a paid account within 7 days, then the standard price. Annual AMA CPT fee: $20 per clinician, excluded from that discount. | December 2025 pricing update, posted October 30, 2025: Solo is $69 a month. Group and enterprise are $79 for the first clinician, plus $50 for each additional, from the billing cycle after December 1, 2025. The post does not print a trial length, a free staff seat, or an enterprise user minimum. | Free up to 3 active clients. A chart counts as an active client. Professional is $39 for the first practitioner and $29 for each additional. Trial needs no card. Freemium requires a card and has no base fee until the fourth chart. No long-term contract. Your records stay exportable. | $29, $59, or $89 per therapist a month. Unlimited clients on every plan. 21-day Premier trial, no card. AMA CPT license fee $19.50 per therapist, billed each December. One FAQ includes unlimited administrative users. Another lists $19 a month on Essentials and Advanced, and $29 on Premier, for extra admin users. Ask which role is free. |
| BAA | The BAA is made when the account is created, between you as covered entity and SimplePractice LLC, and is part of the Terms of Service. It applies only if SimplePractice meets the business-associate definition for you. | If you are a covered entity, the BAA is incorporated into the Terms, and the BAA governs PHI if the documents conflict. | Signup article, last updated April 24, 2026: a signed BAA is included during signup, and the signup form asks you to agree to it. | The product is described as fully HIPAA-compliant. The agreement text is not on the pricing FAQ. Business associate agreements with customers appear only in a sentence about subcontractors who handle PHI. |
| Demo question | Which plan includes the reminder and the group hour you run, and what is Note Taker on top of that plan? | Show one claim rate, one reminder rate, and where the agreement sits in the account. | Add a fourth client and one telehealth seat, then read the next invoice. | Which plan includes online booking and telehealth, what a claim costs after the 50 free, and which admin role is free? |
Vendor facts are based on each vendor’s own public pages, read September 25, 2026. Use them when you compare the best practice management software for the week you already run. Prices and terms can change after that date.

You have two pricing tabs open at 8:10 p.m., after the last note. One says $39. The other says $69. Neither says what a claim costs, or when the agreement starts.
You are in that chair when you compare the best practice management software for a therapy practice. Start with the cards above. Fill the box in the demo, not after you sign. A rank from a list of top practice management software will not tell you which plan books the hour you already run.
Match the plan to the week you run
If the phrase you typed was medical management software programs, and you run therapy, stay on these rows. A rehab suite and a generic booking link are different purchases. The best practice management software for a solo private-pay week is not the same row as the one for a group that files claims every Friday.
SimplePractice splits solo and group. Solo shows Starter, Essential, and Plus. The group view shows Plus only, then custom pricing at six or more practitioners. TherapyNotes’ December 2025 pricing update sets a solo user at $69 a month, then $79 for the first clinician plus $50 for each additional. It does not print a free staff seat. Sessions Health is built around one practitioner at $39, or no base fee until the fourth active chart, then $29 for each added practitioner and no fee for administrators. TheraNest prices every plan per therapist, from $29 to $89, with unlimited clients on every plan.
If you are solo and private-pay, a Premier claim bundle can be the wrong unit even when the writing is good. If you file insurance every week, a sticker that hides the per-claim fee is the wrong unit too. Say which week you run before you book the call.
Best patient management software is the same shortlist with a different label. Use the rows. Do not start a second search that drops the claim line.
The calendar clicks belong in a live trial, not in this comparison. Use the therapy scheduling software trial when you are ready to mark pass or fail on a recurring hour, a cancel, and a completed visit.
Read the claim before you average the stickers
Do not average $29 and $99. The jobs are different, and the best practice management software invoice is rarely the number in the hero.
SimplePractice’s published solo prices are $49, $79, and $99 a month. If you add a card within 7 days, the page offers 50 percent off for 3 months, then the standard price. You are charged the day you add the card. The discount does not apply to the annual $20 AMA CPT fee per clinician. Insurance Navigator is not included. It is free for 30 days, then $1.79 a claim. Do not put $1.79 into this month’s budget.
TherapyNotes’ December 2025 pricing update, posted October 30, 2025, sets solo at $69 a month and group or enterprise at $79 for the first clinician plus $50 for each additional, starting with the billing cycle after December 1, 2025. Appointment reminders, electronic claims, and TherapyFuel prices were left unchanged. TherapyNotes does not publish those rates. A $69 month is not the invoice until you have the claim rate and the reminder rate. Multiply those before the call.
Sessions Health charges 25 cents per claim submission. It does not print a volume tier or a 19-cent rate. Eligibility and benefits reports are 15 cents. Stripe charges 2.9 percent plus 30 cents per successful transaction, with no additional platform fee from Sessions Health. Telehealth is $10 a practitioner if you turn it on. Reminders, the portal, and storage are not extra. That is a different shape from a bundle that looks cheap until the video seat.
TheraNest’s mental-health pricing page prints $29, $59, and $89 per therapist a month. Advanced includes 50 free claims per practice each month, then 23 cents a claim. The eligibility row prints 50 free per practice per month, then 25 cents a claim. Text and phone reminders on Advanced are 50 of each per month, then 10 cents a reminder. Premier marks those lines unlimited and points at a Fair Usage Policy. Unlimited, on that page, is not a blank check. The AMA CPT license fee is $19.50 per therapist, billed each December. Write that line down. It is not in the $29 hero. A banner also offers 70 percent off the first 3 months of Premier, plus Ensai for $1, for new customers with 2 or more clinicians. Confirm you qualify before you budget the banner.
Ask for four numbers, not one: the monthly fee, the claim fee, the card fee, and any annual code license. If the person on the call blends them, you do not have a price yet.
What the portal and the video hour have to do
A portal that only stores a PDF is not the same tool as a portal that lets a client book, pay, and message. Read the cell, then click it.
TherapyNotes does not publish the portal list. Ask what a client can book, pay, message, and sign without calling you. Sessions Health includes a portal that automates intake, collects payment, supports secure communication, and offers online appointments, and the portal is not an extra fee. TheraNest’s secure portal gives 24/7 access to documents, appointments, and online payments on every plan, and lists secure messaging and online booking on Advanced and Premier. SimplePractice puts a client portal, paperless intakes, and online payments on every plan, online appointment requests on Starter, and secure messaging on Essential and Plus.
Video splits on the plan, not on the brand. TherapyNotes does not publish a basic or premium video price. Ask whether video is in the subscription, and what the premium seat costs. Sessions Health prices integrated video at $10 a practitioner, caps a session at 4 participants, and lets you keep another video tool in the reminder at no Sessions Health video fee. TheraNest prices video at $12 a therapist on Essentials and includes unlimited individual and group telehealth on Advanced and Premier. SimplePractice includes telehealth on every plan and lists group telehealth on Plus. Ask which room your group hour uses. Do not infer it from the word telehealth.
If you see clients across time zones, Sessions Health is the only one of these four that names client time zone management. Confirm the others in the trial. A reminder that uses the office clock is a fail if your client is three hours away.
Notes are a column, not the whole purchase
The calendar books the hour. The note is what you would defend. Some of these systems connect the two. That connection is a buying requirement for many practices. It is not the same purchase as an in-session notes layer.
TherapyNotes’ December 2025 pricing update names TherapyFuel as an optional feature and does not print the price. Ask what it costs, and which template opens when you mark the visit complete. Sessions Health includes forms and note templates, and prices AI Assist at $35 a practitioner. TheraNest includes basic notes and Ensai notes enhancement on Essentials, custom notes on Advanced, Wiley on Premier, and prices the session assistant at $35 a provider. SimplePractice includes progress notes on every plan and prices Note Taker at $35 a month after 30 days. Care Aide, at $59 a month for the account owner after 30 days, includes Note Taker. The struck-through prices on that page are the 3-month discount, not the price after month three.
Mark the visit complete in the trial. See whether a template you actually use opens, and whether the AI line is in the base price. A toast that says the hour is done, with no note behind it, is not a pass.
If the gap you feel is the signed note, or the week the client does not come, that is a different buy from the rows above. The 2026 behavioral health software comparison is the layer for that choice. Emosapien syncs with the calendar, the video hour, and the record system you already run. It does not replace scheduling, claims, or the client portal. Check that split on the features page, and the console price on the pricing page, after you know which practice system is staying.
Ask for the agreement before a real chart goes in
A homepage that says HIPAA-compliant is a slogan until you can name the agreement and when it starts. That question belongs on every demo of the best practice management software, including the one with the lowest sticker.
The four agreements do not say the same thing.
SimplePractice’s business associate agreement is made and entered into at the date and time your account is created, between you as covered entity and SimplePractice LLC as business associate, and it is part of the Terms of Service. It applies only if SimplePractice meets the business-associate definition for you. Do not let a sales deck skip that sentence. If you are unsure you are a covered entity, read the definition in 45 CFR 160.103 and take it to counsel. You can still refuse to load a real chart until you have the agreement in hand.
TherapyNotes’ Terms of Service say that if you are a covered entity, the BAA is incorporated by reference into the Terms, and that the BAA governs with respect to PHI if the Terms and the BAA conflict. TherapyNotes does not publish a separate signature step. Ask the demo to show you where the agreement sits in the account.
Sessions Health’s signup article, last updated April 24, 2026, includes a signed BAA during signup, and the signup steps include agreeing to the Terms of Service, the Privacy Policy, and the Business Associate Agreement. That is a clearer line than a slogan. Still download or save the copy. A checkbox is not a file in your folder.
TheraNest describes the product as fully HIPAA-compliant. It does not paste an agreement. Ensora Health requires subcontractors who handle customer PHI to follow restrictions in its business associate agreements with customers. That sentence assumes those agreements exist. It is not the agreement. Ask for it before a real name goes in.
For a clause-by-clause reading list you can take to counsel, use the business associate agreement checklist. It does not replace the vendor’s document.
Best practice management is the row that survives that question, not a badge on a homepage.
Download the buying pack
Print the rows and take them to the call. You are testing the best practice management software against the week you already run, not collecting slogans. The Therapy Software Buying Pack holds the cost model, the native-versus-standalone sheet, the supervision scorecard, and the scheduling acceptance test. Mark pass, fail, or not offered while you click.

Keep the note on the system you already trust
Pick the calendar and the claim first. The signed note is a separate decision.
