Jordan still has two DAP notes and a Thursday process group. The EHR inbox says AI notes now live in the chart. A second vendor says the notes layer can travel if the EHR changes next year. Both pitches treat the other cost as noise.
The EHR AI notes vs standalone choice is where the draft is born: inside the chart as a native add-on, or in a separate layer you keep when the system of record moves. Live in-session prompts are a different purchase. Leave them off this worksheet.

What the EHR AI notes vs standalone choice actually is
You already have a chart, or you are about to sign one. AI documentation is an extra layer on that chart, or it is a second product sitting beside it. A third path, replacing the EHR with an AI-native system, is a migration. If the system of record has to change this year, stop here and run an EHR shortlist instead of this worksheet.
Native means the AI SKU is sold by the EHR vendor and the draft is supposed to land in the appointment note you already sign. Standalone means a separate notes product. You still sign in the chart of record. The second product has to get the draft there somehow: write-back, an extension, or paste.
Co-therapy is not on the ballot. If you need the difference between a documentation-only tool and a tool that can sit in the room with optional prompts, settle that on a co-therapy versus scribe comparison after this architecture call, not instead of it.
Eight gates, then a call
Print this table. For each gate write Yes, No, or Unsure, then the evidence from a live demo or a contract clause. Brochure language does not count. Gate 3 is the one practices skip. A covered entity that lets a vendor create, receive, maintain, or transmit protected health information needs satisfactory assurances in a business associate agreement. A native add-on can still add paperwork. SimplePractice publishes an Addendum to Terms of Service for Add-On AI Products (September 2026). Standalone is a second vendor. That is a second BAA, not a moral failing.
Run the format gate against the notes you actually file. If you need blank SOAP, DAP, and BIRP skeletons for that demo, use the progress note templates and examples hub rather than a vendor slide.
If the connector story matters because you already bill from a therapy EHR, check the live status of SimplePractice, TherapyNotes, and Jane write-back before you treat paste as a temporary inconvenience.
What public prices actually print
Use these as unit prices, then do the arithmetic for your seats. Do not treat the arithmetic as a quote. Where the vendor sends you to sales, write not published. EHR AI notes vs standalone still has to carry the EHR base on both sides.

Vendor figures are based on public US pages checked September 2026. Promotional strikethrough prices, taxes, and sales quotes can change after publication. Do not treat arithmetic from unit prices as a contract.
Upheal Individual pricing (checked September 2026) lists $1 per session, capped at $69 per month, with automatic AI notes included on that EHR. That is a replace-the-chart path, not a native-add-on path. Leave it off this worksheet unless you are actually moving the record.

Worked solo: Jordan, LPC
Jordan is a solo LPC. Eighteen clinical hours a week. Chart is SimplePractice Essential at $79 per month. Notes are DAP for individuals and one weekly 90-minute process group. Telehealth is a mix of SimplePractice Telehealth and one external video bridge for the group.
Native math, using published unit prices from September 2026:
- Essential $79 + Note Taker $35 = $114 per month after the trial, from SimplePractice pricing (September 2026).
- Note Taker FAQs (checked September 2026) describe capture on SimplePractice Telehealth, in-person capture in the clinician app, dictation, and file upload, and say it does not work with an external telehealth platform. The group that sits on the external bridge is out of scope for that recorder.
- Jordan still has to confirm, in a demo on a fictional DAP and a fictional group note, that both land in the appointment record. SimplePractice does not publish a DAP-versus-SOAP matrix on the pricing page. Absence is not a no. It is Unsure until the click.
Standalone math, same EHR left in place:
- Essential $79 plus the second tool.
- On Emosapien’s free plan that second line is $0 for 10 sessions, with no BAA, as published on the pricing table above and the security page (September 2026). Identifiable client material stays out until a Professional plan is in force.
- On Mentalyc Mini it is $19.99 for 40 notes, with a BAA listed on that tier, and no group therapy notes, on Mentalyc pricing (September 2026). Jordan’s weekly group forces Super at $119.99 or a Team seat, which is a different budget than Mini’s landing price.
- A second BAA is required before PHI moves. That is extra legal time, even when the PDF is generated in-app.
Jordan’s call, written as a rule rather than a brand preference:
- If SimplePractice shows a DAP and the group note filing into the chart during the trial, and the group can be captured without the external bridge, buy the native add-on and skip the second vendor.
- If the group still lives on the external bridge, or the demo still pastes a SOAP block into a DAP appointment, keep Essential and add a standalone layer that actually files those two formats.
- If Jordan might leave SimplePractice in 2027, do not attach an AI habit that only exists inside that chart.
Rewrite the last line for your caseload. If you do not file group notes, delete rule 2. If you already know the EHR is staying five years, delete rule 3.
Worked group: eight clinicians, two supervisors
Riverbend Counseling has eight licensed clinicians and two supervisors who also carry a small caseload. The chart is TherapyNotes Group. Associates cannot go out the door with an unsigned note. The owners have already decided the chart stays. They are only buying a notes layer.
Native math, TherapyNotes public unit prices, September 2026:
- Group base: $79 + (7 × $50) = $429 per month for eight clinicians. Non-clinical staff are free on the published TherapyNotes pricing page (September 2026).
- TherapyFuel: $40 × 8 = $320 per month, from the same pricing page and the TherapyFuel overview.
- Combined arithmetic: $749 per month. That is unit math, not a sales quote.
- Using TherapyFuel Scribe to Generate a Progress Note (checked September 2026) describes Scribe on TherapyNotes Telehealth or in person. TherapyFuel FAQs say Scribe cannot access a third-party telehealth platform. Confirm whether every associate’s actual video path matches that. An outside video bridge is Unsure until the vendor shows the capture.
- The TherapyFuel overview (checked September 2026) states TherapyFuel is not yet available for group therapy sessions. If Riverbend files group notes, native already fails the format gate until that page changes.
- The buying requirement is the review queue. A supervisor must log in, open the queue, and find the associate’s draft without searching the client by name. If TherapyFuel writes a beautiful note that never appears in that queue, native fails gate 8 even if gate 2 passes.
Standalone math, same TherapyNotes base left in place:
- $429 for the chart, plus the second tool’s seats.
- Mentalyc Team lists $59.99 per seat per month on Mentalyc pricing (September 2026). Eight seats of arithmetic: about $480, plus the $429 chart, about $909. Super is a per-person $119.99 plan with 330 notes, which is the wrong shape for eight people.
- Emosapien Practice Starter is $59 per seat per month ($49 billed annually) without a BAA. Practice Professional is $129 per seat per month ($109 billed annually) with the BAA on Professional, as published on the pricing table above and the security page (September 2026). Eight seats of Professional arithmetic is a different stack than Starter. Do not trial PHI on Starter and then act surprised.
- You now have two BAAs: TherapyNotes for the chart, and the notes vendor for drafts. That is expected. It is also operational work.
Riverbend’s call:
- Choose native if the supervisor finds the associate’s note in the TherapyNotes review queue during the demo and the capture path matches how sessions actually run.
- Choose standalone if co-sign is a buying requirement and the native add-on never enters that queue, or if two associates still run video outside TherapyNotes Telehealth.
- Choose hybrid only if a subset of clinicians needs formats the native add-on does not file, and you are willing to run two consent stories.
Do not pick standalone because the per-seat sticker looks smaller than $320 of TherapyFuel. The chart is still $429 either way.
Choose native when, choose standalone when
Check every line that is true in your practice. If both columns have checks, the last true line in the gate table breaks the tie. If nothing is true, you are not ready to buy. EHR AI notes vs standalone is that stack of checks, not a feeling about the demo.
Choose native when:
- The chart must not move this year.
- The native add-on already files every format you use, including group if you run groups.
- The paste step is gone in the demo, on your telehealth path, not on a recorded webinar.
- Review and co-sign already live in the EHR, and the add-on writes into that queue.
- A second BAA is a hard no for your counsel or your malpractice carrier.
Choose standalone when:
- You expect to change EHRs within 12 months.
- Native stops at SOAP, skips DAP, or skips group notes you actually file.
- Per-location or custom native pricing is not published at your seat count, and you refuse to budget against a blank.
- The notes layer has to survive an EHR swap.
- Native still leaves a copy/paste step after the trial.
Hybrid (EHR chart plus a standalone notes layer) is a real outcome. It is the usual outcome when billing already works and the native add-on fails one format you cannot drop. Hybrid means two consent forms and two BAAs. Write that down before you call it cheaper.
